Anton Marrero: electronic document management saves $300,000 or more a year

A week from now, on September 19, the Docflow-2012 exhibition and conference will open in Kyiv, with the participation of companies of the Intecracy Group consortium. Anton Marrero, member of the consortium's supervisory board and honorary president of Softline IT LLC, announcing the exhibition to partners, spoke about the benefits of electronic document management systems (EDMS) for business.

"Information in a paper archive is hard to access: you have to go to the archive and search for the document, which takes anywhere from half an hour to several days. In effect, time is lost, and time is very expensive nowadays. On average, an employee spends 8.8 hours a week searching for or collecting data (a full working day!), and according to the consulting firm IDC, the company he works for loses $14,209 per employee per year on this. If, for example, 200 people work with documents in an organization, the losses amount to about $300,000 a year (including printing costs). That is a lot," says Anton Marrero.

It was precisely to solve the problems outlined above that electronic (paperless) document management systems (EDMS) were developed, and one of the best solutions among them is the Megapolis software suite developed by the companies of the Intecracy Group consortium.

Without an electronic document management system:

  1. 30% of working time is spent searching for and approving documents;
  2. 6% of documents are lost and never found again;
  3. almost every internal document in a company is copied up to 20 times;
  4. employee productivity drops by 20–25%;
  5. keeping an archive of electronic documents is 80% cheaper than a paper one

The Megapolis.DocNet electronic document management system is based on the ECM (Enterprise Content Management) concept and supports the full document management life cycle and the automation of business processes of any complexity. Megapolis.DocNet automates the creation, coordination, approval, registration, storage, retrieval and execution control of an organization's incoming, outgoing and internal documents. The result is a 5–6-fold increase in the efficiency of a financial company. In addition, the system is a web application, which allows company employees to work in it from anywhere in the world with Internet access, using modern mobile devices (phones/smartphones, tablets, laptops/netbooks and even Smart TVs).

"The interface is very simple and clear, and document processing is as flexible as possible. As a result, working with electronic documents in Megapolis.DocNet differs little from working with their paper counterparts (endorsement, signing, review)," says Anton Marrero. "In fact, Intecracy Group specialists have created one of the best electronic document management systems on the market."
